You are preparing a wedding or event with a venue, photography, decoration and catering, and each supplier took a deposit and awaits the rest on a date. You want to know: what you have agreed against the budget, what you still owe each supplier and by when, and how many guests have confirmed. The free wedding and event budget sheet answers these from three tables you fill in: suppliers, payments and guests. The template and its page are in Arabic.
The problem it solves
Event preparation multiplies numbers: a deposit here, an instalment there, a balance promised a week before the day, a price not yet settled. Meanwhile the guest list changes daily. If it all lives in chat messages and loose papers, it is easy to miss a due date or pass the budget unnoticed. The sheet gathers the numbers and works out what is left and what is late.
How it works, step by step
- In Settings, write today's date, the budget, the event date and the warning days before a due date.
- In Suppliers, record each supplier with category, phone, agreed amount and final due date.
- In Payments, record each amount you pay with its date, supplier code and type: deposit, instalment or final payment.
- In Guests, write each invitation with its group, number of people, reply and table number.
- The sheet works out paid, remaining, statuses and confirmed attendance. Read the Summary.
What each sheet does
- Settings: today's date (or =TODAY()), budget, event date, warning days.
- Suppliers: for each supplier the deposit paid, total paid, remaining, days until the due date and a status: paid, remaining, due soon, late, overpaid or no price. Ten categories.
- Payments: one row per payment; the supplier's name appears by itself.
- Guests: name, group, people, reply (coming, apologised, no reply) and table. It works out confirmed attendance and a position: confirmed, no table, apologised or awaiting reply.
- Summary: budget, agreed, paid and remaining; supplier positions; guest counts; and two tables, suppliers by category and guests by group.
A walkthrough with the sample data
These names and amounts are samples inside the sheet, not real people or companies. Today is 1 November 2026, the event is on 18 December (47 days away) and the budget is 150,000.
- Al Ward hall: agreed at 60,000, with 40,000 paid (a 20,000 deposit and a 20,000 instalment). The 20,000 balance is due 15 December, 44 days away: "remaining".
- Dreams decoration: 12,000 left, due 5 November, 4 days away: "due soon".
- Happiness catering: 45,000 agreed, 15,000 paid, 30,000 left. It was due 25 October, 7 days ago: "late".
- Rhythm DJ: the full 6,000 paid: "paid".
- Wedding cars: 3,500 paid against 3,000 agreed, so -500: "overpaid".
- Groom's suit: no price yet: "no price".
On the Summary, agreed is 156,000, so the budget has -6,000 left: the agreements exceed the budget by that much. Paid is 76,500 and suppliers are still owed 80,000, so 48.7% of the agreed amount is settled. There are 14 invitations for 52 people: 26 confirmed, 7 apologised, 19 awaiting reply. Two confirmed invitations have no table yet.

Using the online version
The template page opens on this worked example. Type in the white cells and the grey ones update at once; add records through an entry form. Import your own .xlsx from this template, export to .xlsx, or download the original. Your data stays in your browser. Open the template page or the template list.
Who it suits, and when it stops being enough
It suits a couple or family organising an event, or a small planner keeping one event per file. A common slip is forgetting the agreed amount ("no price") or typing a code missing from Suppliers ("code not found"). If several people must record at once, or you run many events for clients, Softwiro can build you a custom program with a login per user and permissions. For daily spending see the cash sheet, and for the monthly home budget the household budget sheet.
FAQ
How is the remaining amount calculated? The agreed amount minus everything paid to that supplier in Payments.
Is the deposit added to the paid total? No. It is part of it: the sum of payments of type "deposit".
What does "awaiting reply" mean? An invitation marked "no reply" or left blank; it is not counted as confirmed.
