Parent communication log for teachers in Excel (free) + online version

Remember whom you spoke to, what you promised to follow up, and which follow-ups are overdue.

4 min read

You are a teacher who talks to your students' parents by phone, message or in person, and you want to see easily who you spoke to, when and about what, what you promised to follow up and by when, and whom you have not contacted yet. The parent communication log does that in one simple file.

The problem

Contact with parents happens at scattered moments: a call after class, a message in the evening, a short chat at the door. Over time you forget whom you promised to call back, and one parent may hear from you often while another hears nothing. You need a short log that takes a minute per contact and reminds you of what is overdue.

How the sheet solves it, step by step

  1. In Settings you enter today's date and edit the topic and means lists if you wish.
  2. In Students you give each student a first name or a code you choose, and a class.
  3. In Log you add one row per contact: date, student, means and topic from lists, and a one-line summary.
  4. If it needs a follow-up you pick "yes" and enter its date; once done you pick "yes" in "follow-up done?".
  5. The sheet works out each follow-up's state: overdue, upcoming, no date or done.
  6. Open Follow-up for the overdue ones, oldest first, and Students, Student and topic and Summary for the rest.

An important note on sensitive data

Do not write sensitive data in this log, such as health or family or financial circumstances. Use the student's first name or a code only, no phone numbers or addresses, and keep to a short, general educational or behavioral summary. The sheet is an ordinary file that may be copied or sent. Follow your school's own rules on keeping records.

What each sheet does

Settings holds today's date (or =TODAY() to keep it current), a topic list (up to 10) and a means list (up to 6). What you type there feeds the dropdowns and the summary tables.

Students shows for each student the number of contacts, last contact, days since the last contact, open and overdue follow-ups, and a status: overdue follow-up, upcoming follow-up, nothing open or no contact.

Log is the sheet you work in daily. Follow-up state and days overdue appear automatically, and overdue rows turn red.

Follow-up lists the overdue follow-ups, longest overdue first, with the date, student, class, topic, means and summary.

Student and topic counts each student's contacts per topic.

Summary gathers contacts, follow-up states, and counts per topic and per means.

The benefits

No promise to follow up gets lost, you know who has not been contacted, and you see which topics come up most.

Why it matters

A parent's trust rests on your coming back when you said you would. A late follow-up is rarely deliberate; it is forgetfulness in a busy week. A log that surfaces what is overdue turns good intentions into a steady habit.

A quick example from the sample sheet

The numbers below come from the sample sheet, not real statistics, and today's date in it is 2026-11-01. It has eight students with made-up first names and 14 contacts: six phone calls, four messages, three meetings and one communication-book note. Nine contacts need a follow-up, two of them done, with four overdue, two upcoming and one without a date.

The oldest overdue follow-up belongs to "Karim" and was due 2026-10-07, so it is 25 days overdue, then "Nour" due 2026-10-26, six days overdue. Three students show "overdue follow-up": Karim, Nour and Layla. "Huda" is due on the day itself, so hers counts as upcoming, not overdue. "Salma" shows "no contact" because she has no row. By topic, homework appears in four contacts and attendance in three.

The online version

Open the page and the sheet opens on the example. Edit any cell and watch the results change, add a contact with a simple form instead of hunting for the last row, and import your own .xlsx file or export your work. Your data stays in your browser on your device.

Who it suits

It suits a teacher or class supervisor who contacts a number of parents and wants a simple log that reminds them of follow-ups. For homework tracking try the homework and behavior tracker, and for attendance the student attendance sheet. This sheet is for communication only.

In short

Log each contact in a minute, set the follow-up and its date, and let the sheet raise what is overdue. Then clear the sample names and enter your own students by first name or code.

Questions this raises

Should I write phone numbers or family details?

No. Use a first name or a code and a short, general educational or behavioral summary. Do not record health, family or financial details; the sheet is an ordinary file that can be copied or sent.

When is a follow-up overdue?

When you chose "yes" for follow-up needed, have not chosen "yes" for follow-up done, and its date is before today's date in Settings. One due today is upcoming, and one with no date shows as "no date".

Can I change the topics and means?

Yes. Edit the two lists in Settings and the dropdowns in the log and the summary tables follow. It holds up to 10 topics and 6 means.

How do I see whom I have not contacted?

In Students, anyone with no row in the log shows "no contact", and the Summary counts them. In the sample, one student of eight has no contact.
