General shop inventory in Excel (free) + online version

Know what is left, what to reorder, what your stock is worth and what is not moving, from one log of stock in and out.

4 min read

You run a shop with many items and want to know, without counting shelves every day, how much of each item is left, what to order now, what your stock is worth, and which items just sit there. The free general shop inventory tracker answers this from two things you type: a list of items and a log of stock in and out.

The problem it solves

In a small shop, stock starts in a notebook and ends up in memory. A cashier says the sugar is "still plenty", then a customer finds it gone. You reorder what you remembered, not what you needed, and months later you find tissues that have not moved since summer. The sheet works out every balance from the movements each time you open it.

How it works, step by step

  1. In الأصناف (Items) write each item's code, name, unit, buy price, sell price and minimum level.
  2. In الحركات (Movements) log each stock in or out as one row. The opening balance is a stock-in row.
  3. The items sheet calculates balance = in minus out, value at purchase price, margin, last movement and days without movement.
  4. Each item gets a status ("available", "reorder", "out") and a "slow" flag once it passes the days you set.
  5. إعادة الطلب (Reorder) lists what to buy with the cost, and الملخص (Summary) shows stock value and slow stock.

What each sheet does

  • الإعدادات (Settings): today's date, slow-mover days, and the multiplier for the suggested reorder quantity.
  • الأصناف (Items): the basic data, then in, out, balance, value, unit profit, margin and status.
  • الحركات (Movements): one log of everything in and out, with the item name filled in and a warning for an unknown code.
  • إعادة الطلب (Reorder): what to buy, how much, and what it costs.
  • الملخص (Summary): the big numbers on one page and the count of items in each status.

A walk-through with the sample numbers

These items and numbers are sample data inside the sheet, not a real shop: 12 items, 33 movements, and "today" is 1 November 2026.

  • Sugar: 100 received, 82 sold, balance 18 against a minimum of 20. Status "reorder", suggested quantity 22.
  • Pasta: balance 5 against 30, suggested quantity 55, first on the list as the largest.
  • Soap: balance zero, status "out", suggested quantity 48.
  • Cooking oil: balance 15 equals its minimum, so it is "available", not "reorder".
  • Tissues, lentils, batteries: 109, 60 and 165 days without movement, so all are slow at a 60-day limit. Lentils sit exactly on the limit.
  • LED bulb: no movement recorded, so "no movement", not slow.

The four reorder items cost 1,811 at purchase price. The whole stock is worth 6,990, the expected profit if it all sold is 1,582 (about 18.5% of selling value), and the slow items are worth 1,310, about 18.7% of stock value.

Why it matters

  • Balance from movements, not memory.
  • Stock value and margin: you see where your capital is.
  • A minimum per item: the warning comes before the customer asks.
  • A reorder list with its cost: you go to the supplier with a budget.
  • A slow-mover list: you can discount instead of ignoring it.
  • Works in Excel 2016+, Google Sheets and LibreOffice, free, no sign-up. It holds 200 items and 1,500 movements, and the reorder list shows the first 50.

Difference from the clothing store sheet

For clothes in colours and sizes, use the clothing store inventory sheet. This one is for a general shop: one code and unit per item, plus a reorder list, slow-mover check and margin. To watch expenses too, see the business expenses and budget sheet.

The online version

The template page opens on this example. Edit the white cells and the grey ones update at once. Add a movement with a form, and import or export xlsx. Your data stays in your browser.

Who it suits

A grocery, household-goods, stationery or supplies shop with hundreds of items, where you type movements yourself. When daily sales are too many to type, Accsys deducts the quantity at each sale, syncs the shop's devices and shows profit per item.

FAQ

When "reorder" and when "out"? "Out" at zero or less, "reorder" below the minimum; equal to the minimum is "available".

How is a slow item decided? It has stock and no movement for at least the days set in Settings.

How do I correct the balance after a count? Log the difference as stock in or out with the note "stock count adjustment".

Questions this raises

When does an item show "reorder" and when "out"?

"Out" when the balance is zero or less, "reorder" when it is below the minimum. An item whose balance equals its minimum is "available".

How is a slow item decided?

An item with stock and no movement of any kind for at least the number of days set in Settings.

How is this different from the clothing store sheet?

The clothing sheet gives each colour and size its own code. This one has one code per item, plus a reorder list, a slow-mover check and profit margin.
