Monthly savings circle (gamaeya) in Excel (free) + online version

See who paid, who is late, who collects when and how much, and print the monthly statement.

4 min read

You run a monthly savings circle (a gamaeya) among colleagues or family and you want a clear answer to who has paid this month, how far behind each member is, who collects in which month and how much. The free monthly savings circle sheet gives you this from two things you type: the members with their shares, and the log of instalments paid.

The problem it solves

A circle runs on trust, but trust needs a clear account. How much has this member paid since the start? Did they cover March or pay half? How much is collected so far for this month's payout? When the answer sits in an old notebook or WhatsApp messages, questions become arguments. The sheet puts every instalment in one log and calculates each figure from it.

How it works, step by step

  1. In الإعدادات (Settings) write the circle's name, share value, first month and number of months.
  2. In الأعضاء (Members) write each member and their shares; the sheet works out the monthly instalment.
  3. In الشهور (Months) write the collection order: month number and who collects.
  4. In الدفعات (Payments) log each instalment with the month it settles.
  5. The sheet calculates arrears, what is left and each member's status, and المتابعة (Tracker) shows the members-by-months grid.
  6. Print كشف الشهر (Statement) and review الملخص (Summary).

What each sheet does

  • Settings: share value, start date and the current month, with a warning if the number of months differs from total shares.
  • Members: monthly instalment, paid, arrears, what each member collects and their status.
  • Months: who collects each month, what was collected toward the payout, and whether it was handed over.
  • Payments: the instalment log; the member's name fills in automatically.
  • Tracker: what each member paid in each month on one grid, with shortfalls coloured.
  • Statement: a printable page for any month, with a signature box for each member.
  • Summary: collected, remaining and arrears on one page.

A walk-through with the sample numbers

The names and numbers below are sample data inside the sheet, not real people. The circle has 8 members and 10 shares at 1,000 each, so the payout is 10,000 a month over 10 months starting July 2026. "Today" is 1 November 2026, so the current month is month 5.

  • Ahmed Salem and Sara Youssef hold two shares each, pay 2,000 a month and each collect twice, 20,000 each.
  • Mona Hassan missed month 3, so her arrears are 1,000 and her status is "late".
  • Tarek Magdy paid half of month 2, so his arrears are 500.
  • Yasser Fouad missed month 4, so his arrears are 1,000.
  • Khaled Omar paid month 6 in advance (1,000); he is also up to date on earlier months, so he has no arrears.
  • Heba Samir paid 500 of this month's instalment, leaving 500.

In month 5 Sara Youssef collects. 10,000 is due, 6,500 has been collected and 3,500 remains, which is 65%. Arrears for earlier months total 2,500 across three members, 45,000 has been collected since the start, and four payouts have been handed over. The month 6 collector is Yasser Fouad.

Features and why they matter

  • One figure per member, from one log rather than memory.
  • Collected and remaining this month: you know when the payout can be handed over.
  • Arrears as a net balance: overpaying in one month reduces what is owed.
  • A printable statement, one page everyone can see.
  • Works in Excel 2016+, Google Sheets and LibreOffice, free, no sign-up. It holds 40 members, 24 months and 1,500 payments.

Important notes

The sheet records and calculates; it cannot make anyone pay. Months normally equal total shares, and the sheet warns you if they differ. In Payments, write the month an instalment settles, not the payment date's month.

The online version

The template page opens on this example. Edit the white cells and the grey ones update at once. Add an instalment with a form, and import or export xlsx. Your data stays in your browser. Open the template page or the templates list.

Who it suits

Anyone running an office, family or neighbours' circle who wants an account everyone can see. For other instalments see the installments tracker, and for a cash log see the cash book. If the circle grows or several people need to record at once, Softwiro can build you a custom program.

FAQ

How is the payout calculated? Each share pays its value every month; payout = total shares times share value.

What if a member holds two shares? Their instalment doubles and their code appears in two months of the order.

How are arrears calculated? What they should have paid for months before the current one, minus everything paid toward those months.

Questions this raises

How is the payout calculated?

Each share pays its value every month, so the payout is total shares times the share value. With 10 shares of 1,000 it is 10,000 a month.

What if a member holds two shares?

Enter 2 shares: their monthly instalment doubles and their code is written in two months of the collection order.

How are arrears calculated?

What the member should have paid for the months before the current one, minus everything paid toward those months. It is a net balance.
