You work for yourself and you want to know at any moment: how much do clients owe me? Which invoice is late? How many hours have I worked and not yet invoiced? How much did I earn each month? The free freelancer projects and invoices sheet answers these from four logs you type: projects, hours, invoices and payments.
The problem it solves
Freelance work is scattered. The deal is in a message, the hours are on paper, the invoice is in a file and the transfer is in a banking app. A few weeks later it is hard to say exactly: did I invoice everything I did? Did the client pay the second instalment or only the first? The costly mistakes are work you finished and forgot to invoice, and an invoice that went late without anyone noticing. The sheet puts the figures in one place and calculates from them.
How it works, step by step
- In الإعدادات (Settings) write today's date (or =TODAY()) and the year whose monthly income you want.
- In المشاريع (Projects) write each project with its client and pricing: fixed price or by the hour.
- In الساعات (Hours) log each work session: date, project and hours.
- In الفواتير (Invoices) log each invoice with its amount and the agreed payment days.
- In المدفوعات (Payments) log each amount you receive with the invoice number it settles.
- Open الملخص (Summary) for the full picture.
What each sheet does
- Settings: today's date and the year shown.
- Projects: calculates logged hours, project value (hours times rate, or the fixed price), invoiced, collected, not yet invoiced and what the client owes, and flags a project that needs invoicing.
- Hours: the log of work sessions; the project name and the value of the hours fill in automatically.
- Invoices: calculates the due date, paid, balance, status and days late.
- Payments: the log of what you received; the project and client fill in automatically.
- Summary: what clients owe and how much of it is late, work not yet invoiced, this month's figures and a monthly income table for the year.
A walk-through with the sample numbers
The names and numbers below are sample data inside the sheet, not real clients. It has six projects, eight invoices and five payments, and "today" is 1 November 2026.
- Invoiced in total is 50,125 and paid is 27,800, so clients owe 22,325.
- Of that, 9,000 is late across two invoices: INV-002 is 37 days late with 5,000 left, and INV-005 is 13 days late with nothing paid (4,000). The remaining 13,325 is not yet due.
- The hourly project "Content writing" has 26.5 hours at 150 = 3,975, of which 3,525 is invoiced, so 450 is not yet invoiced and the sheet flags it "hours not invoiced".
- The "Design edits" project has 7.5 hours worth 1,350 and no invoice yet, so it carries the same flag.
- In monthly income, 22,000 was collected in September and 5,800 in October, so the average of months with income is 13,900. October logged 94.5 hours.
Features and why they matter
- You see what you have not invoiced: the gap between the value of the work and what you invoiced is shown per project, so work does not slip between invoices.
- A clear status for every invoice: paid, late, partly paid or due, with days late.
- Hourly and fixed-price projects in one sheet: each type is calculated its own way.
- Monthly income from the same logs: you never retype a figure.
- Works in Excel 2016+, Google Sheets and LibreOffice, free, no sign-up. It holds 200 projects, 1,000 invoices, 1,000 payments and 2,000 hours rows.
Important notes
The sheet records and calculates; it does not send invoices or remind clients, so once you know who is late you contact them yourself. Log each payment against the invoice it settles, because that link is what calculates the balance.
The online version
The template page opens on this example. Edit the white cells and the grey ones update at once. Add a project, invoice or payment with a form, and import or export xlsx. Your data stays in your browser and is not sent to a server. Open the template page or the templates list.
