Dental clinic treatment plans in Excel (free) + online version

See each patient's plan progress and what they owe for the work done, without comparing two notebooks by hand.

5 min read

You run a dental clinic and you want to know at any moment: where each patient's treatment plan stands, how many sessions are left, how much a patient owes for the work already done, whose plan has stalled with no next appointment, and how many sessions were attended or missed this month. The free dental treatment plans tracker answers those questions from three lists you type: plans, sessions and payments. The template and its page are in Arabic, and it stores no diagnoses or medical data.

The problem it solves

Dental treatment rarely ends in one visit: a root canal over three sessions, a crown over two. The patient agrees a price for the whole plan and pays in instalments. Halfway through it is hard to say how much work you have done and whether the patient is ahead or behind on payment. Follow-up slips too: a missed session with nothing booked after it, or a next date that passed days ago. The sheet ties sessions to plans and payments to patients and works all of this out every time you open it.

How it works, step by step

  1. Write the procedures your clinic offers in the Procedures sheet, and each patient's code, name and phone in Patients.
  2. Add a row per plan in Plans: its number, patient, procedure, planned sessions, agreed price, start date and next session date.
  3. Log each session in Sessions with its plan number and status: done, missed or cancelled.
  4. Log each payment in Payments with its date, patient code and amount.
  5. The sheet works out the done sessions, the value of the work and each patient's balance. Open Follow-up and Summary to read it.

What each sheet does

  • Settings: today's date (you can type =TODAY()) and a date inside the month to summarise.
  • Procedures: your list, with plans, agreed prices and sessions done per procedure.
  • Patients: per patient the plan totals, paid, value of work done, balance now, last session and status.
  • Plans: sessions done and left, progress, status, and a "needs an appointment" alert.
  • Sessions and Payments: two logs where the patient's name appears by itself.
  • Follow-up: patients who owe a balance, largest first.
  • Summary: patients and plans by status, the money, and the month's sessions, attendance and collections.

A walk-through with the sample data

The names and numbers below are sample data inside the sheet, not real people. Today is 1 November 2026 and the summary is for October.

  • Essam Nabil: two plans: a root canal for 1,500 over three sessions (two done) and a crown for 2,500 over two (one done). The work done is worth 1,000 and 1,250, so 2,250; he paid 2,000, so he owes 250. The crown's next date was 28 October and has passed: "needs an appointment".
  • Tamer Wagdy: a root canal for 1,400; he missed the 4 October session and then completed three, so the plan is "complete". He paid 1,000 and owes 400.
  • Aya Mokhtar: a whitening plan for 1,800 not started, and a 500 deposit: "paid ahead", with 500 in her favour.
  • Waleed Samir: his extraction session was cancelled and his date has passed: "not started" and "needs an appointment".
  • Marwan Ali: a four-session filling for 2,000, two done and one missed; he paid 600, owes 400, and has no next date.

Follow-up shows three patients: Tamer 400, Marwan 400, then Essam 250. The summary shows 7 patients and 8 plans: 2 not started, 3 running and 3 complete, with 3 needing an appointment. The plans total 10,400, the work done is worth 5,500, 4,950 was paid, and 1,050 is due now for work done. October has 9 sessions done, 2 missed and 1 cancelled, so attendance is 81.8% (9 of 11), and 4,450 was collected in the month.

What you get from it

  • Each patient's balance for the work actually done, so you neither bill what is not done nor forget what is.
  • No plan left without an appointment, and a list of who owes, largest first.
  • It works in Excel 2016 and later, Google Sheets and LibreOffice, free and with no sign-up.

Using the online version

The template page opens straight on this example. Type in the cells and watch the results change, add a session or a payment from a form, and import an .xlsx file or export yours. Your data stays in your browser, so export a copy from time to time.

Who it suits

A dentist or a small clinic where one person records sessions and payments. If you only need bookings and today's list, try the clinic appointments sheet; if patients pay in instalments, see the instalments tracker. If you need per-user access, Softwiro can build software around the way your clinic works.

Questions this raises

How is a patient's balance calculated?

The value of the work done minus what was paid. A plan's value done = agreed price x (sessions marked "done" / planned sessions). A negative number means paid ahead, and a missed or cancelled session does not count as done.

What is the difference between balance now and remaining on plans?

The first compares what was paid with the work actually done; the second compares it with the prices of all the plans, including sessions not yet held.

Does the sheet store diagnoses or medical files?

No. It holds the patient's code, name, phone and first visit date, plus plans, sessions and payments. Do not write diagnoses or medical data in the notes.

Is my data sent anywhere in the online version?

No. It stays in your browser. You can export to .xlsx to keep a copy.
